Term Fees
Fees will be payable via direct debit on a monthly basis, billed 7 days prior to the 1st of each month (with some exceptions, e.g. Public holidays). Should a participant wish to opt out of our direct debit they may do so and transactions may be made via credit card or cash. However non direct debit participants will be charged in 3 month increments, which will be debited down with every monthly billing cycle.
Cancellation & Refund Policy
Cancellation of enrolment must be made 7 Days or more prior to the 1st Day of the following month (before each monthly billing is initiated) will result in no penalty. Cancellations made less than 7 days prior to the 1st of the month or after you have received your monthly bill will incur a $20.00 Administration Fee.
No refunds are offered upon cancellation post the 1st of the month; cancelations after this time will require a cancelation form to be completed, upon completion a credit will be retained on file and remain on file for 12months from the date of cancellation.
Make up tokens will not be converted into financial credits. They will however be left on file until their expiry (90 days). If you are away for more than 1 Lesson and will be on extended leave, you must note this on your app or advise SwimWorld directly.
In the event of SwimWorld Glen Waverley temporarily closing due to circumstances surrounding a pandemic, (covid or otherwise) or an order given by either the Victorian state or Australian Federal government, classes missed during this time may be utilised as make up classes anytime during the course of the year once SwimWorld reopens. No refunds shall be given on missed classes.
Lesson Suspension
Lessons may be suspended due to an emergency such as injury, illness or personal matters.
Notification of suspension will result in you being removed from your class day and time and added to a waiting list for your preferred day and time. No ongoing charges will be incurred during your suspension period and balance of paid fees will be credited off your account upon rebooking.
In the event that you wish to keep your preferred day and time, you will be suspended and rebooked into a class at your preferred restart date.
A rebooking will require a deposit in order to hold the class day and time.
Make Up Lessons
Make up lessons can be made when a regular class is missed.
Makeup classes cannot be converted into financial credits.
In the event of SwimWorld Glen Waverley temporarily closing due to circumstances surrounding a pandemic or an order given by either the Victorian State or Australian Federal Government for the health and safety of the population, classes missed during this time may be utilised as makeup classes once SwimWorld Glen Waverley reopens under the direction of the Victorian State or Australian Federal Government.
It is the responsibility of each client to contact and alert SwimWorld Glen Waverley of their intention to cancel one or more classes either online via the portal or directly to our customer service staff, therefore ensuring ‘cancelled’ is listed against the swimmer’s name prior to the missed class. This must be done at least 1 hour before the scheduled start time of the class. Make ups must be redeemed within 90 days after which they will expire. Make ups may be booked into alternate classes at a time that suits the client and where there is availability. In the event of no contact being made to the facility prior to the non-attendance of a lesson, a ‘no show’ will be listed against the swimmer’s name and no makeup will be allocated.
Makeups are to be used in the program in which they occurred. Eg Makeups allocated during a swimming term can be used during a swimming term, makeups allocated during a Holiday Program can be used during a Holiday Program.
Holiday Program Makeup classes are not guaranteed.
Non attendance or cancellation of make up classes will result in the lesson being forfeited.
Makeups can be transferred between family members.
Make up tokens are issued once the missed class has taken place.
Participants are able to receive a maximum of 1 make up token per month.
Private Lessons
Private lessons are scheduled around our current group classes.
If you are unable to attend your private lesson, it is the client’s responsibility to contact and alert SwimWorld Glen Waverley to ensure ‘cancelled’ is listed against the swimmer’s name prior to the missed class. In the event of no contact being made to the facility prior to the non-attendance of a lesson, a ‘no show’ will be listed against the swimmer’s name and no makeup will be allocated.
Due to the limitations surrounding private lessons, Makeup lessons for private class swimmers are to be made up in group lessons only.
Special Needs Sessions
Special Needs classes are scheduled around our current group classes.
A phone / in person meeting is required to ensure a comprehensive understanding of the swimmer’s requirements to ensure a suitable coach is allocated and program developed to ensure the best outcome.
If you are unable to attend your Special Needs class, it is the client’s responsibility to contact and alert SwimWorld Glen Waverley to ensure ‘cancelled’ is listed against the swimmer’s name prior to the missed class. In the event of no contact being made to the facility prior to the non-attendance of a lesson, a ‘no show’ will be listed against the swimmer’s name and no makeup will be allocated.
Due to the limitations surrounding special needs classes, makeup lessons are not guaranteed for special needs class swimmers.
